Add a Course Date

Courses are organised into course masters and course date. A course master is the template for all the course dates under it. Course dates use course master information as default or as defined on the course master. See details below about what information is used as default, to be edited, and what can only be found on the course master. There are two main ways you can add a course date:

Choose the Course Master first

  1. Navigate to Publish>Masters

  2. Choose your Course Master from the list, filtering if necessary. Click on the green + button

Using contextual ribbon

  1. View or edit a Course Master, Document or Course Date

  2. Click on the green + button beside the Courses>Dates icon on the contextual ribbon

Course Category

  • Maintained on the Course Master

Provider

  • Maintained on the Course Master

Duration

  • Default from the Course Master, can be modified on individual Course Dates
  • Used to calculate the end date, start and end dates can be modified at the course date, effectively by-passing the duration period.

Course Format

  • Maintained on the Course Master

Course Description

  • Default from the Course Master, can be modified on individual Course Dates
  • If set at course date modifying the default course description or changing on the course master will have no effect on course date.

Residential Description

  • Maintained on the Course Master

Branch

  • Maintained on the Course Master

Terms and Conditions

  • Maintained on the Course Master
  • May depend on associated Price Types, and Alternative Course Prices see here for more details about setting up alternative course prices/terms. And bulk changing alternative prices as necessary on the course dates.

Course Date Process Path

  • Maintained on the Course Master
  • Can vary based on which course master the course date is associated to

Document Process Path

  • Maintained on the Course Master
  • Set at Course Master, but can be altered on a document basis by managing the document (box at bottom of document, user must have manage permissions to see box).

  • People by role links from the course master are used unless overridden by being specified at the course date. Files are set at course master only, and are applicable for all course dates

Start Date

  • Maintained on individual Course Dates

End Date

  • Maintained on individual Course Dates
  • Calculated using the ‘Duration’ value in days

Venue

  • Maintained on individual Course Dates
  • Defined at adding a course date

Course Topics

  • May be created automatically from the Course Master
  • May be removed and added as necessary on the Course Date

Next change

  • Maintained on individual Course Dates
  • Defined by the price rule, but can be changed manually.

Next price

  • Maintained on individual Course Dates
  • Defined by the price rule, but can be changed manually.

Price Rule

  • Maintained on individual Course Dates
  • Set at the course date only

Reference Id

  • Maintained on individual Course Dates
  • Set at the course date only

Status

  • This is related to the course master or course date records - course master status is manually set but the course date status is determined by an internal service ‘course rollup’ that uses the course master ‘Make Completed’ value and course date ‘Start Date’ to determine the status
