Add a Course Master

A course master is like the template for a group of course dates that participants register for training. Reasons to set up a new course master include; selling in a new currency, a different course format eg. weekend vs weekday, a different process path, eg. private vs public. These are NOT reasons to set up a new course master: New location ie. just create a new venue, new date ie. just add a date to an existing course master.

We assume that the following are already setup:

  • Provider: Publish>Options

  • Branch: Publish>Options

  • Terms: Publish>Content

  • Process path for the Course Date: Automation>Paths

  • Process path for the Documents: Automation>Paths

Follow these steps:

  1. Create the course category, Publish>Options

  2. For Nationally Recognized Training (NRT): Set up the course module for the course (for each Unit of competency): Publish>Options

  3. Create the Format for the course, adding the Course Module(s) to topics: Publish>Format

  4. Create the course description: Publish>Content

  5. Create a new Course Master: Publish>Masters

    • Choose a Course Master name, describe the course and how it differs from other similar courses eg. “Microsoft Word private event with Non-profit pricing”

    • Select, edit or create the options: Course Category, Provider, Duration (in days), Course Format, Course Description, Residential Description, Branch, Terms and Conditions, Process Paths (course date and document).

    • Configure the pricing; Our price is the current (perhaps discounted) price, if no discounts this equals the RRP (Recommended Retail Price).

    • Configure the costs; Course costs are those incurred even if you ran the course with no delegates/participants, eg. venue, trainer, marketing. Delegate costs are those on a per participant basis, eg books, exams or food.

    • Create alternative course prices, these are discounts specific to the business environment of the course master, eg you might have Gold, Silver and Bronze discounting for customers or a reseller price.

    • Select the currency, tax rule type and payment group & catalog group

    • For public website display: Enter the total places, ie the maximum number that can attend a course, once this value of registrations is reached the course no longer accepts bookings, by removing the button to the registration form. Choose if the course is public / private, ie this will make the course show or not on the public course listing. Pick the make completed period in days, ie where the course is removed from the public website to allow a suitable preparation time for courses, minus days are before the course start date.

    • Finally make the course master ‘Active’ so that you can begin adding Course Dates.

  6. Add links to the course master: Publish>Masters

  7. Add course dates as required

Note

  • try to keep a consistent naming convention (see other items like format and modules for this). Efficient management requires a tidy and easy to manage data set

  • some items may not be required as they are already set up or can be re-purposed from other items created for other courses.

  • in many cases you can use the ‘add based on this….’ button to quickly duplicate and therefore add new items.

  • if you have many course masters to add we have Selenium Scripts that can automate the addition of items from a set of spreadsheets

  • any variation to terms, process paths etc may need to also be created, when already in existence, use the relevant item

  • when setting up a format it is common practise to have the topic the same name as the course module

  • course dates for online courses are usually just once per year, all students accumulate on that course date, unless the student volume becomes too much to manage easily. The course must be marked ‘completed’ to be included in AVETMISS reports.

  • ensure when creating course dates for NRT you tick the “Generate Course Topics from the Course Format” checkbox so that topics are generated for AVETMISS reporting purposes.
