  1. Create a file category

  2. Upload the file to CourseSales.com (content>files>new)

  3. Link the file to the file category

  4. Edit then link the file to the course master

  5. Link the file category to the email

How do I create a file category?

  1. Publish>Options

  2. Click on the tree view (forth icon from left) for ‘File categories’

  3. Click on the cog graphic to the left of an existing file category and select ‘Add after this node’

  4. Fill in the name, you can ignore the description, and change the status to ‘active’.

  5. Save/add the course category.

How do I upload a file to CourseSales.com?

  1. Publish>File>new

  2. Enter details and select the relevant fields, note: you can upload a maximum of 2 Mb for each file.

  3. Remember to select the correct file category

  4. Change the status to ‘active’.

  1. Publish>Masters

  2. Edit a course master that should have the file linked to it

  3. Scroll to bottom where the table of links is, and click ‘Add files’

  4. Add all the relevant files for that course master

  1. Publish>Content

  2. Filter by email content type and select the email to edit

  3. Scroll to bottom where the table of links is, and click ‘add File Categories’

  4. Link the email to the relevant file categories and save

Test by checking the preview (mag glass with +) and triggering the process step that sends the email and relevant file.

Look out for the following:

  • Logins not associated with the course master

  • Logins associated with the course date

  • The process rule not having the correct settings

  • The file not having the correct file category

  • The file not being associated to the course master

Frequently asked questions

Why is it not possible to add/link file categories to a course master like you can with the email? You can only link individual files, which can I see getting a bit fiddly when you have a lot of files uploaded (as will be a lot of scrolling). As would be much easier to link all the files in the category at once in one click rather than adding all the relevant files individually.

Does linking the file to the course category do something along these lines? ie. Linking all the files to the course master.

At some point we need to determine which files pertain to which course. Our design does this at the course masters, rather than at the file level. This is for a number of reasons, including flexibility and increased functionality. It might mean additional work to set up however once this is done we believe it offers greater options to different configurations. The way the system works out which files to attach to an email is by looking at the course master and seeing which have been linked to it. By linking files to course masters, and also course dates you can vary which course dates within a given course master receive which files. The current arrangement allows the following scenarios:

Scenario 1: A file category ‘After course’ can be created and include files for, say 20 different courses all allocated to ‘After course’ - enabling you to use just one email template. When sending the email the system determines which file to attach based on which files are linked to the course master for the given course.

Scenario 2: While normally all courses for one course master might be suitable to receive, via email, 3 specific attachments, eg Syllabus.pdf, Manual.pdf and SampleExam.pdf there may be one course date where a new syllabus might need to be tested/introduced. In this case, until all future courses will be using the new syllabus that one course date could have the following, which effectively over-rides those on the course master: Syllabus-new.pdf, Manual-new.pdf and SampleExam-new.pdf In this case the file category can remain the same, as can the course master.

For those organisations that only ever send out 2 attachments, for every course regardless, and this never changes, the efficiency vs flexibility ratio may change however we seldom find training organisations that are as simple as this - most are complex organisations trying to find something to simplify this complexity!
