There are some things that you should check after anyone has done configuration within the software. If you have many people making changes then do this regularly.

  1. Field Tidy Check that you only have one field for each internal type. Do this by going to Forms>Fields then filtering by each internal type, don’t just filter by Active fields, search for all fields by choosing the status “– select –”.

  2. Be a Customer For a Day Do test registrations for each course, and look at ALL the emails to confirm that they are arriving as expected, do a registration via your public website and keep a close eye out for the fields, appearance and messages.

  3. AVETMISS Ready Regularly export and validate your AVETMISS data, uploading interim data to the AVS website is a good way to ensure you don’t have a rush to validate post codes or other data at the end of the year.

  4. Ensure Standardization Check naming conventions in your options eg. course categories, content eg. email and PDF templates etc are being followed for ease of troubleshooting.

  5. Improve Customer Service Confirm that all emails & PDFs have the name of the email template and the external reference numbers on them for quick customer trouble shooting and support.

  6. Contact Integrity Check that there are not contacts with too many registrations - this could indicate you are not gathering student email addresses, which may indicate problems with your data depending on how your are matching your contacts.

  7. Ensure Security Are any logins not required? Only those who really need it should be included as active logins, and certainly only particular people should have access via usernames and passwords.

  8. Save Orphan Emails Check that all your course masters have catch-all email addresses for all roles that should receive emails. You don’t want emails disappearing into nowhere.
